Job Summary

This position will perform purchasing duties under the direction of the Purchasing Manager such as creating/sending purchase orders, communicating with factories and freight forwards to ensure best pricing and fluidity and utilizing NetSuite ERP to the fullest.

Required Qualifications (including education, skills, experience, and physical requirements):

  • HS Diploma, associated degree or higher preferred.
  • Purchasing principles – Basic purchasing. PO creation, vendor management/accountability and terms/payments.
  • Knowledge of Microsoft Office, ERP systems – NetSuite preferred, basic spreadsheet skills.
  • Transportation — Knowledge of principles and methods ocean, air and LTL common carrier freight.
  • Reading Comprehension/Speaking/Writing — Understanding written sentences and paragraphs in work related documents. Talking to others to convey information effectively. Communicating effectively in writing as appropriate for the needs of the audience.
  • Active Listening — Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Complex Problem Solving — Identifying complex problems and reviewing related information to develop and evaluate options and implement solutions.

Daily duties will include:

  • Perform purchasing duties under the direction of the Purchasing Manager.
  • Analyze material requirements via NetSuite ERP, ensure/negotiate best pricing and generate
  • purchase orders.
  • Ensure vendors are accountable for lead times
  • Track Inbound Shipments and share as appropriate via NetSuite with staff and update tracking sheet.
  • Communicate/Negotiate with freight forwarders to ensure best pricing
  • Communicate with freight forwarders and factories to maintain a fluid Supply Chain. Minimize
  • delays and unnecessary costs.
  • Utilize ERP System and coordinate with broader team to determine if inventory quantities are sufficient for needs and make revisions as necessary.
  • Contact suppliers to schedule or expedite deliveries and to resolve shortages, file/manage claims/credits, missed or late deliveries, and other problems.
  • Work with accounting and approve verified bills. Ensure payments to vendors are timely and accurate. Verify they are posted correctly.
  • Monitor inventory and adjust safety stock levels accordingly.
  • Assist / Support Purchasing Manager and Warehouse Manager to complete Demand Planning, Min/Max, Re-order Point and Inbound Shipment set up in Netsuite.
  • Item set-up and management

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Occasionally, this role will be required to enter a warehouse environment that houses racking systems, stairs, conveyor belts, and inventory.
